The join

Nothing is typed in twice. Not once, in the whole life of the building.

A delivery project's site becomes a customer site. Press Import and every device your engineers pinned during first fix copies into the service register — make, model, serial, MAC, IP, asset tag, floor and room, with the install date taken from the task that completed it.

  • One project links to one customer site, enforced in the data layer rather than trusted to the screen
  • Imported assets remember the task they came from, so importing twice changes nothing
  • The asset page links back to the installation task and the drawing it sits on
  • The project register reads back the other way — last serviced, next due, red when overdue
  • Operations never writes to the project register. The as-built stays the as-built

Jobs and visits

Raise it, plan it, walk it, close it

A job is raised against a site — reactive, planned or one-off — and attended through visits. The engineer walks it forward on the phone: on my way, on site, complete. The job's status follows on its own, and every change lands in the job's trail.

  • Job numbers per organisation and contiguous, allocated under a database lock so two can never collide
  • Completing a visit requires an outcome — complete, return required, or no access
  • Return required and no access send the job back to the office rather than into a gap
  • A completed job reopens for a return visit without becoming a second job
  • The day works offline, because plant rooms still do not have signal

The day

A week you can drag

One row per engineer, one column per day, a chip for every visit. Drag a chip to move it. Drag a job out of the unscheduled tray and it becomes a visit. It works on a phone, because the person re-planning the day is rarely sitting at a desk when it changes.

  • Drag a visit to another engineer or another day, keeping its time and length
  • The board still scrolls sideways on a phone while you are dragging on it
  • A map of every active site, coloured by a visit today, open jobs, or quiet
  • Addresses geocoded once, on the server, and stored so it never runs again
  • Engineers see the map narrowed to the sites of their own jobs

Assets and planned maintenance

The panel tells you when it is due

Every asset carries a QR label. Scan it and you land on that asset inside your own organisation — a label from another organisation is a 404, not a glimpse of somebody else's estate. Maintenance plans raise the job themselves.

  • Printable label sheets per site, resolving only within the signed-in organisation
  • Service history written by hand, or automatically when a visit completes against the asset
  • Plans raise a job every N months, a set number of days before it falls due
  • A plan skips while its last job is still open, so a missed visit never stacks up two
  • The register sorts and filters on next due, which is the list somebody has to work

Quotes and invoices

Priced, sent, accepted, invoiced

Numbered per organisation and contiguous. The customer opens a link with no account and accepts or declines. An accepted quote raises its job and drafts its invoice, both pinned back to the quote it came from.

  • Money in whole pence, VAT in basis points, every line rounded before the totals are summed
  • What the office sees while typing is what the PDF prints — the same arithmetic runs in both
  • Invoice lines suggested from the completed visits, with hours from the visit itself
  • Parts used on the job arrive as lines at your sell price
  • An accounts export in the column layout Xero's sales-invoice import accepts

Who sees what

Prices never leave the office

An engineer opening the app on site sees their own work and nothing else. This is not a setting somebody has to remember to switch on.

Their visits, the jobs they are on, the assets at those sites, their own week of timesheets and their own van. No customers list, no quotes, no invoices, no other engineer's work.

Admins and organisation-wide project managers get every job, the whole board, the map of every site, everyone's timesheets to approve, and the full billing settings.

How

Narrowed in the data layer

The restriction is applied where the data is read, not on the page that displays it. So it holds for the API exactly as it holds for the screen, and a curious URL gets nothing extra.

Being straight with you

What this does not do yet

This is the first slice of the service side, shipped in September. It runs a real service desk today, and these are the parts that are not there.

No live accounts push

The export produces the file Xero's sales-invoice import accepts. It does not push into Xero or QuickBooks over an API, and we are not going to describe a CSV as an integration.

Text messages need a provider

Customer notifications go out by email today. The SMS path is built, but it only sends once you connect a messaging provider, and until then it is recorded as skipped rather than pretending.

Jobs run in the web app

Engineers work jobs and visits in Graftix on a phone, installed as an app and working offline. The separate native Engineer app does not carry them yet.
