Site inductions

The induction that works on a phone at the gate.

Print the poster, put it on the hoarding, and anyone who turns up scans it and works through the induction on their own phone. No app to install, no account to create, and nothing for you to do at eight on a Monday morning.

Included in every subscription · Seven days free · No card required

The current state of play

Nobody chose the clipboard either

Site inductions end up as a clipboard, a spreadsheet, or a system that demands every visiting subcontractor create an account they will use exactly once and never again. That last option is the worst of the three, and it is the one most software sells you. It is not laziness that keeps the clipboard on the gate. It is that the alternative has always been slower.

"Sign here"

A folder on the gate, filled in with a biro, photographed at the end of the week if anyone remembers. Unreadable by March.

"Create an account"

A two-day subcontractor, standing in the rain, being asked to set a password and verify an email before they can lift a drill.

"Which version is that?"

The poster on the wall points at last year's induction, because somebody updated the document and the QR code went stale.

The builder

Your induction, in the order you give it

Build it out of ordered steps — documents to read, questions to answer, details to capture, qualifications to produce, a signature at the end. Publishing takes a snapshot, and that snapshot is what every person who scans the poster works through.

  • Steps you order yourself: documents, media, questions, data capture, qualifications, signature
  • Publishing snapshots the whole thing, so an edit in progress never reaches the gate half-finished
  • One induction per project, paused and resumed from the office when a site closes
  • Submissions land in a queue for review, and can be rejected with a reason

The poster

A printed poster that cannot go stale

One A4 page per site: a branded band, the induction title, a large QR code, three plain instructions, and the web address in small print underneath for the phone that will not scan. Print it, laminate it, screw it to the hoarding.

  • Re-publish an updated induction and the code on the wall keeps working
  • The version moves; the address does not, because the poster is already on a wall
  • Every submission records exactly which version of the induction was completed
  • Pause the induction when the site shuts and the same code picks up when it reopens

The public flow

Scan, verify, work through it, done

They scan the code, give an email address, confirm it, and work through the induction on the phone in their hand. If the signal drops in a lift shaft halfway through, they ask for a link and carry on where they stopped rather than starting again.

  • No account, no password, no app — an email address is the whole of it
  • Answers are marked by Graftix, so nobody can look them up on the phone
  • Resume by emailed link, so a dropped connection is an interruption rather than a restart
  • Documents and media served only from your own organisation's storage, never another's
  • A mistyped email address is caught before they start

RAMS in the flow

They sign the RAMS before they set foot on it

The induction can put the project's risk assessment and method statement in front of them, with an explicit declaration that they have read it, and take the signature there and then. It always resolves the current version at the moment they open it, so nobody signs the one you replaced last Tuesday.

  • They always see the current RAMS, however old the poster is
  • A typed signature against an explicit read declaration, not a tick in a box
  • Sealed as a signed snapshot PDF, so what they agreed to is what is on file
  • The sign-off appears on their competency pack — what they read, which version, and when

And then

It fills the register on its own

A completed induction is not a PDF in a folder. The person arrives in your pending queue as an operative, with whatever qualifications they produced already attached to them — and without costing you a seat, because an operative is an employment record rather than a login.

  • Lands as a free operative in the pending queue, ready to review
  • Qualifications captured during the induction arrive attached, evidence and all
  • No paid seat is used, however many people come through the gate
  • Reject a submission with a reason, and nothing enters the register
